Templates

Overview

BlastIT allows users to create Templates for frequently used messages. Templates streamline the messaging process by providing pre-written text that can be quickly selected and sent without the need for manual composition each time.

Key Points About Templates:

  • Templates are reusable message formats.
  • They cannot include dynamic variables.
  • Templates can be accessed and managed from the Templates section in BlastIT.
  • Messages sent using a template include an Acknowledge link, ensuring recipients can confirm receipt.

Accessing Templates

To create or manage templates:

  1. Navigate to the Templates section in BlastIT.
  2. View existing templates or create a new one.
  3. Enter the message content and save the template for future use.
  4. When composing a message, select a template to use its predefined content.

Example: Network Reboot Notification Template

If you need to notify users about an upcoming network reboot, you can create a template like this:

Template Name: Network Maintenance Notification
Message Content:

“Attention: We will be performing a scheduled network reboot on [DATE & TIME]. During this period, access to the network may be temporarily unavailable. The maintenance is expected to last approximately [DURATION]. Thank you for your patience. Please acknowledge receipt of this message.”

Since templates do not support variables, placeholders like [DATE & TIME] and [DURATION] should be manually updated before sending the message.

Example: Healthcare Facility Closure Notification

If a healthcare facility needs to notify staff about a closure due to weather or other emergencies, the following template could be used:

Template Name: Facility Closure Notification
Message Content:

“Due to [WEATHER EVENT OR INCIDENT], our facility will be closed on [DATE]. Essential personnel will be contacted separately regarding their schedule. Please stay safe and check for further updates. Acknowledge receipt of this message.”

Example: Urgent Staffing Request

When a healthcare facility is short-staffed and needs to call in additional personnel, this template can be used:

Template Name: Urgent Staffing Request
Message Content:

“We are currently experiencing a staffing shortage for [SHIFT DATE & TIME]. If you are available to cover a shift, please respond as soon as possible. Your support is greatly appreciated. Please acknowledge receipt of this message.”

Best Practices for Templates

  • Keep messages clear and concise.
  • Use simple language to ensure recipients understand the message.
  • Update the template when necessary to reflect current policies or processes.
  • Ensure templates comply with communication standards within your organization.

Managing Templates

  • Editing: Templates can be modified at any time to reflect updated information.
  • Deleting: If a template is no longer needed, it can be removed from the system.
